The role presents a rare and exciting opportunity to work closely with the CEO and the wider team of a highly innovative, growth-stage technology company. You will be an integral part of the company with full responsibility for managing all aspects of the CEO’s business needs and the day to day running of our London-headquartered office.

 

The ideal candidate will thrive in a busy, energetic and a fast-moving environment and will be able to hit the ground running. They will work in a dynamic, supportive and friendly team, however will be expected to carry out their duties with minimal supervision. They will be able to carry themselves in an extremely professional manner with an ability to build strong working relationships at all levels of the business, and will often be the first person customers and clients meet when visiting the London HQ.

Responsibilities

  • Executive Assistant to the CEO
  • Provide high level EA support to the CEO and lead on all his business travel itineraries
  • Strategically manage the CEO’s inbox, ensuring important emails are responded to in good time and other emails are filtered down to the right people in the team
  • Support the CEO on to-do list management, tracking progress against company priorities
  • Support in regular senior-management meetings taking notes and following up on actions including the Strategy Board, Management Team meetings
  • Engage with the wider business at various levels, escalating issues to the CEO when necessary (being the eyes and ears).
  • Install process/structure in a rapidly changing company structure (e.g., reporting tools, tracking performance of projects, developmental feedback etc.)
  • Liaise and build strong working relationships with senior stakeholders including customers/clients, investors, advisors etc.
  • Promote and build a strong working relationships across the V-Nova teams
  • Promote the Executive Team values across V-Nova and keep abreast of staff feedback and general mood of the office. 
  • Lead on day to day office management
  • Liaising with external facilities teams and contractors
  • Room booking management
  • Catering for meetings
  • Kitchen maintenance including coffee machine, kitchen stock etc.
  • Stationery orders and stock monitoring
  • Lead on Health and Safety
  • Monitor the office budget ensuring all stay in within budget
  • Distribute post, arrange DHL deliveries and collections
  • Answer the V-Nova phone and field enquiries appropriately
  • Uphold office policies and procedures
  • Ad hoc office duties & projects
  • Other duties include:
  • Lead on organising monthly team drinks & other team building activities
  • Assist the wider Operations team on day to day administration duties
  • Install new processes for day-to-day operations within the broader team
  • Management of the corporate house– liaising with cleaners, landlord, paying bills etc.
  • Lead on logistics for trade shows

Qualifications

  • At least 3 years’ experience in an EA/ Office Manager role
  • Excellent attention to detail and accuracy, first time right attitude and able to work to deadlines
  • Strong team player and commitment to the Company’s objectives
  • Driven, ambitious and keen to progress within the role and team
